## Description

The Region of Southern Denmark is facing an upcoming IT acquisition of a new dose planning system and wishes to conduct a prior market dialogue. This market dialogue regards the procurement of a dose planning system to Odense University Hospital including an option for delivery to other hospitals in the region. Odense University Hospital is the main regional hospital in The Region of Southern Denmark. A full range of radiotherapy services are offered, including intra- and extracranial stereotactic radiotherapy, mid-ventilation phase treatments, deep inspiration breathhold treatments, adaptive radiotherapy and proton therapy planning (not proton therapy delivery). In 2023, 37000 fractions in 2700 treatment courses were treated at the hospital. On a daily basis delineation and planning is handled by approximately 3 physicians (delineations), 3 radiographers (delineations and dose planning) and 3 physicists (dose planning), supplemented and assisted by a number of colleagues for independent approvals, specialist knowledge and to cover peak loads. We expect that the new dose planning system acquired for Odense University Hospital will have sufficient automation to allow the daily workload to be handled by a similar sized group, but with enough licenses to allow more than 20 simultaneous users. In addition to the clinical work, the department has an extensive involvement in research and development related to treatment planning including development and implementation of treatment techniques and clinical protocols, as well as various teaching obligations. Market dialogue: The purpose of the market dialogue is to identify potential suppliers and gain knowledge about their products/services/technical approaches, so a procurement can be constructed that in the best possible way meet the market’s capabilities while mitigating identified risks. The Region of Southern Denmark encourages all interested suppliers to express their interest in participating in market dialogue meetings by emailing to the Contact person listed in this notice. Interested suppliers are asked to submit a response to the questionnaire published in Ethics via the following link: https://www.ethics.dk/ethics/ca#/tender/dd9bba03-73b3-4d74-8144-fb89c2151a05/home. Additionally, interested companies can refer to or attach a product description of their relevant solution(s) and optionally provide information about the company’s references, including similar customers using the solution. All information and documents must be submitted in English. Expression of interest including the response to the questionnaire must be received at the latest by 11 March 2024. During the market dialogue interested suppliers will have the opportunity to account for how they can deliver a complete dose planning system in the Region of Southern Denmark. Hence, it must be uncovered if any suppliers in the market have an interest in and the possibility to deliver a complete solution. The market dialogue should give the Region of Southern Denmark a wider knowledge of the market as a foundation for developing the requirement specification for the coming procurement.
